Video-Conferencing for UND CMS

We have a FNAL loaner videoconferencing system installed in the CMS/Quarknet converence room at the Bruno's/Aldi's facility.

Be sure you know what number or numbers to call. If you are going into the ESnet MCU (Multi-Control Unit), you should have a confirming email with the numbers on it, titled "DCS Reminder". Thru the MCU, you cannot connect more than a few minutes before scheduled start time, and it will cut you off at 5 minutes before the scheduled end!! Note that conferences thru the MCU cost us about $30/hour for the long distance call. Conferences direct to Fermilab are significantly cheaper, since the MCU is physically at UC Berkeley.

The ESnet MCU wants at least 24 hour notice of any videoconference using its facilities, primarily so that there is reasonable assurance that everyone particpating knows what numbers to use and to avoid conflicts with other users. Therefore, please contact me or go thru Sheila Cisko at Fermilab at least 24 hours ahead of time.

Startup:

Turn on the monitor, which is normally left off since there is no screensaver.

If the Windows 3.1 screen does not appear, turn the processor on; it will boot to MS-DOS. At the C:\> prompt, enter "win" to start Windows 3.1.

Open the PictureTel LIVE folder, if not already open.

Double click on the PictureTel LIVE icon in this folder.

Connecting:

Once it is up, and you see the small image from our camera, go to the Call menu. If the number you want has recently been called, it will be in the Redial list at the bottom of the Call menu. Select that number and it will redial. Otherwise, select the Phonebook. Scroll thru it to find the number you want to call, or select Add. If you are adding a new number, a page for numbers and identifiers comes up. There will be spaces for 2 numbers, enter the first with spaces around the 9 and 1; e.g., 9 1 6308405930. The second will then appear with the same number. If you have been given 2 numbers, change the second to the second number, otherwise leave it the same. For the names, enter something to identify where this is going. For DCS, enter DCS and the phone number as the last name, and ESnet for the company. Click OK to get back to the phonebook. A newly entered number will probably be at the top of the list. If there are more than you and one other place in the conference, you will usually go thru the ESnet MCU, which will have an area code of 510, which will probably already be at the bottom of the list. This may need edited to get the 9 1 in front instead of their access code; click the Modify button for this. The MCU will usually use one number for both channels, whereas the 2-point connect will often have 2 numbers.

Select the number you want (click once). Then click Call. When it answers, you will get their video in the big window, and you should hear them on the speakerphone.

If someone is dialing into us, do not try to dial but leave the system in the Ready (Auto answer on). There is a phone icon at the upper left of the big window which can be clicked to answer an incoming call. Since we have not yet had an incoming call, we do not know if we need to click this icon or if it will just automatically come in. The dialin site will need to dial the numbers associated with our line; see below under Configuration.

Conferencing:

Adjust the camera to point at you. To adjust the picture going out, click the small local image to the foreground and click the little upward arrow at the upper right of the window to enlarge the window. Then adjust the camera focus or light level. Click the little downward arrow in the upper right corner to restore the window to its small size. If you are just listening, select the mike (in the upper left toolbar), and a circle slash for NO will appear over it. Click it again to renable the mike. If there are multiple people in the conference, the software will switch the displayed picture to whoever is talking.

If you have a drawing or other document, you should hold it at about the distance you are, or adjust the focus on the side of the camera. (Eventually we will have a document camera which will be like an overhead projector, and will be selected from the local Video menu.)

If your video window disappears behind the Windows 3.1 window due to a stray mouse click, click on the down arrow button at the top right of the Windows 3.1 window and the window will go to an icon, and your video windows will reappear.

Shutting down:

When you are done, click on Hang Up under the Call menu. (Hang Up may appear grayed out, but it still will work.) Then select Exit under the File menu, and you should be back to the Windows folder. If you had put the Windows folder into an icon, double click it to restore it.

There is no need to shut the computer down; just leave it sitting for the next use. However, PLEASE TURN THE MONITOR OFF, since there is no screen saver.

When you leave the room, please be sure the door is locked.

Configuration:

Normally there is no need to open the PictureTel Config application. It is thru this that the phone numbers that this system is connected to are set. There are 2 numbers associated with our lines, and each also has a SPID which is part of the configuration.

When we get our own videoconferencing system, these numbers will be configured into it.
